Privacy Policy for Employees

SiS processes personal data to fulfill its obligations as an employer, for example, to carry out a hiring process, pay salaries, manage pensions and insurance, decide on leave applications, follow up on sick leave, report salaries to tax authorities, etc.

Personal data is processed in accordance with the General Data Protection Regulation (GDPR) and is necessary to fulfill the employment contract and to comply with obligations imposed by other legislation, such as the Working Environment Act, the Accounting Act, and the Tax Assessment Act.

Only the information necessary to achieve the purpose of the processing is retained.

For applicants, we will only process the information necessary to conduct a hiring process.

For employees, the information necessary to manage the employment relationship is processed.

The personal data we process will include:

  • Name
  • Date of birth and personal identification number
  • Account number
  • Phone number
  • Address
  • Name of next of kin and their phone number
  • Job application
  • CV
  • Certificates and diplomas
  • Seniority
  • Education/job level
  • Job code
  • Employee number
  • Employment contract
  • Documentation of any changes in the employment relationship
  • Salary information
  • Pension details
  • Any correspondence between employee and employer
  • Minutes from job interviews
  • Sick notes, self-certifications, absences
  • Information about termination and final certificate
  • Union membership

The management, HR, and payroll department will have access to the information. The information is stored electronically and physically in a personnel file in our archive system. As a rule, personal data should not be stored longer than necessary. It is the responsibility of the data controller to assess how long it is necessary to keep the information available. In some cases, we are obliged to store the information for a certain period, in accordance with, among others, the Archive Act and the Bookkeeping Act.

SiS shares salary information for employees in the organization with the employer association Spekter so that we can perform the necessary analyses and calculations for the individual union members and their salary claims. SiS is obliged under the General Data Protection Regulation article 13 number 1 (e) and the accountability and documentation obligations that follow from article 24 to have an overview of whom personal data is shared with. There may be instances where we need your consent to process information about you. You will then be asked to sign a consent form. If we process information about you based on your consent, you can withdraw your consent at any time.

You have the right to view/access and obtain a copy of the personal data registered about you.

If you believe that incorrect or incomplete personal data has been registered about you, please contact us. It is important that you justify and, if possible, document why you believe the personal data is incorrect or incomplete.

If you believe we have not processed the personal data correctly and legally, or if you believe we have not been able to fulfill your rights, you have the opportunity to complain about the processing.

SiS, represented by the Managing Director, is the data controller for our processing of personal data.
