The Student Welfare Organisation in Stavanger (hereafter referred to as SiS) is the data controller for your personal information when you use the app "MinSiS." A data controller is responsible for ensuring that your personal information is processed in accordance with privacy regulations.
Below is an explanation of why, how, and for how long SiS processes your personal information in the "MinSiS" app. Finally, you will be able to read about your rights, that is, what you can do if there is something you disagree with or if you need more information about what and how we process your information.
Login/Registration:
Once you have downloaded the app, you can log in in two ways:
- Feide login: As a student, you may already have a Feide user. The app allows you to use your Feide account for login. If you use Feide for login, you consent to SiS retrieving information about your name, national identity number, place of study, subjects, and student email. - Manual account: A manual account can also be created. To create a manual account, you must provide your email address and set a password. You can also choose your place of study.
The purpose of this information is to create a unique user for you in the app. You can also choose to use the app without logging in. If you choose to create a user in the app, SiS can process this personal information to fulfill the agreement with you to provide you with a unique user in the app. We store this information as long as you use the app. If you do not request that information be deleted, it will be deleted after one year of inactive use.
Introduction:
At the top of the homepage in the app, you can go through an introduction that presents all the services offered by SiS. After each section, you can check off if you are familiar with the service. Once you have completed the introduction and registered as a user, you receive a QR code that gives you a free cup of coffee at one of the SiS cafés. Your responses in the introduction are stored in the app, and the QR code will be visible on "my page."
It is Munu Cloud that provides the QR code solution. This code can be used at all SiS cafés to receive free coffee or get discounts on other items. Munu creates an ID for each user, which SiS requests to create a QR code for the user. SiS only keeps information about the number of coffee cups purchased to maintain the offer of every 10th cup of coffee free. When 10 coffee cups have been purchased, a free coffee cup is registered, and then everything is reset.
The purpose of the introduction is to familiarize you with SiS's services. It is in SiS's legitimate interest to make students aware of the various services offered.
Your use in the app:
When you use the app, you can click into the various services offered by SiS. In some cases, you will be redirected to SiS's websites for further registration or more information. For example, you will be redirected to the sports center's website if you wish to register as a member. If you want to apply for a kindergarten place, you will be redirected to Sola municipality's website. Google Analytics is installed in the app, which is used to record and analyze usage and usage patterns in the app. It is Google Analytics that collects this data, but all data is anonymized, and SiS will only see data at an aggregated level, that is, combined data about what the user base does in the app.
Map functions:
In the app, you will find maps from Google Maps and Mazemap that show the location of the service you are looking for or to lecture halls and group rooms. The use of these map functions does not show your location, but if you wish, you can click on the map and be redirected to Google Maps or Mazemap's websites. When using these services, it is Google or Mazemap that is responsible for processing your personal information, and you are encouraged to read more about this in their privacy policy.
Transfer of personal information:
When transferring personal information to countries outside the EU/EEA, there are now stricter requirements for personal and security protection. The application is operated by Google Cloud, which is an American cloud provider, but all data is stored on a European server located in Frankfurt.
Your rights
You have the right to receive information about how SiS processes your personal information. This privacy statement is intended to contain the information you are entitled to receive.
If your information is incorrect or incomplete, you can change some of this yourself on My page. Here you can change your name and your place of study.
You can request access to the information we have stored about you and the deletion of your personal information, unless the information is necessary to provide a service you still wish to have access to, or we are legally required to retain the information for a certain period, for example, according to the Accounting Act. If you wish to access your information, you can request this by contacting us by phone or email.
All data in the app will be deleted after one year of inactive use. If you wish to have your information deleted or object to the processing, you can contact us by phone or email.
If our processing of your personal information is based on our legitimate interests, you have the right to object to the processing, and in certain cases, the processing must cease or be changed.
If you believe we have not processed the personal information correctly and legally, or if you believe we have not been able to fulfill your rights, you have the opportunity to complain about the processing. You will find information on how to contact us below.
If we do not uphold your complaint, you have the opportunity to submit the complaint to the Data Protection Authority. The Data Protection Authority is responsible for ensuring that Norwegian businesses comply with the provisions of the Personal Data Act and GDPR when processing personal information.
