1. Goal
SiS shall be an organization that practices transparency with the aim of facilitating student involvement in matters concerning student welfare.
Transparency and involvement do not apply to matters that conflict with current confidentiality obligations, are of a sensitive nature, involve disputes, employment, personnel matters, procurement, negotiations, or business-related issues.
2. The Welfare Council – the highest democratically elected student body
In the cooperation agreement with the Welfare Council, the Welfare Council is a consultative body for the SiS board in the following matters
– Annual vision, goals, and budget
– Matters that impact student welfare
– Changes to the semester fee
– Allocation of the semester fee, including guidelines for the distribution of welfare funds, health reimbursements, and grants for individual events.
If it is not possible due to time constraints, the Welfare Council's Executive Committee should be contacted so they can express opinions on behalf of the Welfare Council.
The Executive Committee of the Welfare Council is informed about SiS board matters by receiving the agenda and case documents that are not confidential/sensitive at the same time they are sent to the SiS board. The Executive Committee is bound by confidentiality.
The Executive Committee of the Welfare Council can continuously contact the administration to clarify questions about SiS operations, matters sent for consultation, etc.
3. All students and others
Matters sent to the Welfare Council for consultation are also posted on the SiS website, allowing all students the opportunity to be heard. Information about the consultations is shared on Facebook and other relevant social media.
The board's meeting schedule, board minutes once approved by the board in the subsequent board meeting, and the board's report and accounts are publicly posted on the SiS website. Vision, goals, and budget are publicly posted on the SiS website when the matter is sent to the Welfare Council for consultation. All board matters that do not conflict with current confidentiality obligations, are of a sensitive nature, involve disputes, personnel matters, negotiations, procurement, or business-related issues are publicly posted on the SiS website. The same applies to student surveys.
All students and student organizations are welcome to meet the board before the board meeting. They have the opportunity to ask the board to address specific issues, express opinions on matters and the operation of SiS, and anything else they might wish.
The board's chair and administration are available to all students and others and respond to inquiries.
